2 / Will I be working with the same Virtual Assistant (VA) / Partner on all projects?
For receptionist only service, no but for most other cases, yes. For ongoing tasks or regular coverage, we typically assign a dedicated team member as your main point of contact to ensure consistency and clear communication. However, if a task or project requires a different skill set, or if your designated contact is unavailable, we will assign the work to another qualified team member to ensure your needs are seamlessly met.
3 / Will my assigned Virtual Assistant (VA) / Partner be working for other clients?
Unless you’re hiring us for full-time coverage, our team members typically support multiple clients to make the most of their skills and availability. Rest assured, your VA will remain dedicated to your tasks during the agreed-upon hours. Our rollover system also ensures that calls and urgent needs are covered even if your VA is unavailable or away.
We also carefully assign tasks and set availability limits to prevent overloading. For example, we would not assign a VA to manage two clients requiring 30 hours a week each or if their requested hours of coverage overlap.
4 / What happens if my VA is sick or takes time off?
We’ve built a seamless coverage system. Another trained VA from our team will step in to handle rollover calls, messages, or urgent tasks. This way, your business never misses a beat.
5 / How do I communicate with my VA?
You’ll have a direct line to your VA and can communicate easily via phone, email, and KVP's Google Chat to ensure clear, reliable, and well-documented communication. Additionally, we’re happy to integrate and support your existing messaging platforms, such as Slack, Follow-Up Boss, or others, to best suit your workflow.
6 / How do you handle call overflow?
When your VA or receptionist is busy, our rollover system automatically assigns another team member to answer your calls, ensuring you never miss an important call. If you’re enrolled in our receptionist service, you will not be billed for missed calls. You are only billed for answered calls, as well as any requested outbound calls or callbacks.
7 / Can I scale my plan up or down?
Receptionist Plan: Refunds are not provided if call volume is lower than expected in any given month. However, we understand that real estate can be seasonal, and call volume may vary throughout the year. To accommodate this, you can switch your plan month-to-month, giving you flexibility based on your current needs.
Hourly Rate Roles: Our billing is based on the specific tasks or skill sets you require, rather than a fixed "plan." This means you pay only for the services you use—whether it’s general admin work or specialized tasks. If you need general administrative support for a few hours and then require a specialized service immediately afterward, you will be billed the appropriate hourly rate for those tasks. However, if you specifically request work from a senior manager or a high-level professional instead of a general VA, tasks are billed based on the role performing them versus task.
A La Carte Project-Based Services: These are billed at a flat rate per task, allowing you to request and pay for individual jobs as needed. No plans necessary.
8 / Can you use my existing systems and software?
Absolutely! Our team is experienced with a wide range of platforms, including Yardi, AppFolio, Buildium, Hospitable, Lodgify, PadSplit, Airbnb, Dotloop, Follow Up Boss, Slack, HubSpot, Salesforce, Google Workspace, Microsoft Office, and more. This allows us to seamlessly integrate with your existing systems with minimal training. Just share your processes and workflows, and we’ll be ready to get started!
9 / How will I know my VA is being productive?
For hourly services, we use time tracking apps, call logs, activity reporting, and performance check-ins, so you always know what’s being handled. Transparency and accountability are built into our process.
10 / Where is your team located?
Most of our team is based in Metro Atlanta, GA. However, as a remote company, we have the privilege of working with talented professionals across the United States and the Philippines. This allows us to provide coverage around the clock, regardless of your time zone, ensuring consistent support whenever you need it.
11 / What if I don’t like the VA assigned to me?
We want you to feel 100% confident in your support. If for any reason the match isn’t right, we’ll reassign you to another VA who better fits your needs — ensuring there is no downtime for your business.
12 / How quickly can I get started?
Task based projects such as CMAs and Occupancy Checks can be done in as little as 24 hours — simply fill out our request form and we'll get to work. Our Basic Receptionist services are also quick to activate. so we can get started as soon as you sign on. For Premium Receptionist services or hourly jobs, onboarding is quick and straightforward as well. After we discuss your needs, we'll match you with the best-fit VA, introduce them to your process and systems, and typically have you up and running in as little as 48–72 hours.
